Find & Find in IDEA

Hi,

A closer look at 'DATA' under IDEA's toolbar will reveal 'Find' under Fields and 'Find' under Search.

'Find' under Fields allows you to pinpoint and locate a specific field in your active database. So in a Payroll File if you click on 'Find' and select 'Basic', your view in the active database will take you directly to the field 'Basic'. Very useful when applying a quick field search to large field databases.

Organizing two open Databases in IDEA for a simultaneous View

Hi,

Lets say you have two open databases in IDEA - one - a bank book the other a bank statement.

You would like to view both the databases on your IDEA screen at the same time to decide on the manner of joining the files (i.e. common matching key fields)

This can be done by going to the View tab in the IDEA tool-bar. Under View click on Horizontal to view the two databases simultaneously in top down mode.

If you would like to view the databases simultaneously in side by side mode use Vertical under View.

Quick Indexing and Column Juxtapositioning in IDEA

Hi,

Lets say in a Debtors Trial Balance you would like to identify the highest receivables by outstanding balance.

This can be easily done by double-clicking on the field heading for outstanding balance.

Double-click once for ascending index - low to high

Double-click the second time for descending index - high to low.

This will create a new display view with the highest to lowest outstanding balances within the same trial balance.

Its a convenient method to gain insights into the data.

Gap Detection for Completeness Checks

Hi,

IDEA's Gap Detection can be applied to identify breaks in accounting document series attributable to missing or cancelled entries.

As an example on the revenue billing front Gap Detection can be applied on the Sales Invoice Number to identify missing Invoices or on the Sales Date to identify dates on which sales have not been made.

So any pre-formatted, fixed length, sequential number or character or date series can be subject to a Gap Detection in IDEA.

Its a very convenient mode to apply accounting completeness checks.

Using Stratification to identify breach in Approval Limits

Hi,

Using IDEA's Stratification the user can build internal transaction approval limits into the Stratification dialog box.

So if a procurement function has approver wise release limits within an application those limits can be built into the stratification dialog box user wise.

Any transactions executed above the limit threshold will get captured within the Upper Limit Exception (ULE) stratum in Stratification.

The ULE will reveal both the count and value of entries above the approval limit threshold.

Using IDEA's Visual Connector to detect fall in Excise Duty Collection

Hi,

IDEA's Visual Connector can be used to detect specific Item Codes where there is a sudden fall in Excise Duty levies in any given month.

 Following steps may be undertaken within IDEA -

 a. Obtain the Outward Register containing the Item Code, Item Description, Date, Location, Quantity, Unit Rate, Basic Value, Assessable Value, Excise Duty, Chapter Heading

b. Append a virtual numeric field titled 'Month' using criteria @month(Date)

Using IDEA's Correlation to Detect Excise Duty Evasion

Hi,

IDEA's Advanced Statistical Method - Correlation can be used to detect specific Item Codes where potential Excise Duty evasion is rampant.

Following steps may be undertaken within IDEA -
